Make the practice work better

Better systems.
Fewer workarounds.

Find where the day-to-day work breaks down. Then decide whether the answer is a clearer process, a better integration, a staffing change or different software.

Start where you are

Where is work getting stuck?

Changing software

Show the problem before the demo.

Bring a real workflow, the failure point and the result you need. A long feature list is a weak substitute.

Improving performance

Define the measure first.

Agree on what a metric includes, its time period and its source. Then compare consistent periods.

Planning growth

Find the bottleneck before adding staff or software.

Is the constraint demand, staffing, room time, process or follow-up? Each requires a different next step.

The decision framework

Operating priorities.

01

Map the current patient journey

Document inquiry, booking, consultation, treatment, payment and follow-up. Mark each handoff, system and responsible role. Use fictional scenarios in software demonstrations. Leave patient details out.

Use the software demo worksheet ↗
02

Separate process gaps from software gaps

Name the work that is missing, duplicated or unreliable. Ask whether configuration, training or ownership could resolve it before assuming a replacement is required.

03

Review payments and follow-up together

Write down how payment choices are explained, recorded and reconciled. Review the whole workflow and vendor terms; do not compare an advertised rate in isolation.

Prepare the operating checklist ↗
04

Choose a consistent operating review

Start with a small set of clearly defined measures for revenue, appointment activity, capacity and costs. Record both the number and the question it raises.

Before you move on.

Is this a recommended software stack?

No. It is a framework for specifying what your stack needs to do. Brand comparisons should follow a clear workflow brief and verified information about the actual products.

How should I compare EMR and CRM tools?

Compare their roles in your workflow rather than treating their labels as interchangeable. Identify what manages clinical records, inquiry follow-up, scheduling, payments and reporting, then confirm the actual capabilities and integrations.

Can I put patient details into these worksheets?

These worksheets do not need patient-identifying information. Use anonymous descriptions and test scenarios when recording workflow problems or preparing demonstrations.

Does the KPI worksheet calculate profitability?

No. It defines review questions and metric inputs. The planned profitability dashboard is a separate future tool; the worksheet does not estimate net income or establish benchmarks.
